Seller Knowledge Base

A simple, organized resource to help you sell with confidence and maximize your earnings.

Scan at Home

Scanning your sold items at home before Drop Off helps make check in faster and gives you an easy way to confirm which sold items you have ready to bring.

As you scan and submit your items, your Seller Portal updates automatically, so you can see your progress and quickly identify anything that still needs your attention.

What You Will Learn

In this guide:

  • How to find your Scan at Home record

  • How to scan sold item tags with your phone

  • How to save and submit your scans

  • How to follow your progress in the Seller Portal

  • What to do if an item will not scan or you are not bringing it to drop off

Before You Start

Gather the sold items you are bringing to Drop Off and make sure each item has its sold item tag attached.

For the easiest setup, we recommend:

  • Use your phone to scan.

  • If possible, open your Seller Portal on a computer or tablet at the same time.

This lets you scan with your phone while watching your progress update in the portal.

Start With Your Scan Record

In your Seller Portal, find Scan at Home and click View Record.

Your Scan Record gives you a snapshot of your progress:

Total Sold Items — The total number of items you sold.

Items Scanned — Items you have successfully scanned and submitted.

Items Not Scanned — Sold items that have not yet been scanned.

You willl also see photos, Buyer Codes and descriptions for your Items Not Scanned. These make it easy to figure out exactly which items you are still looking for.

As items are successfully scanned and submitted, they will disappear from these lists.

How to Scan Your Items

Use your phone for the scanning process.

  1. Click SCAN AT HOME to open the Checkins Form.

  2. Look for the magnifying glass and the message “Click HERE then choose the camera to scan the barcodes.”

  3. Tap Click HERE.

  4. On the next screen, “Let’s scan in some items,” tap the camera icon.

  5. Your phone may ask for permission to access your camera. Tap Allow.

  6. Begin scanning the QR codes on your sold-item tags.

Scan in Small Batches

We recommend scanning about 10 items at a time.

After each batch, complete:

Done → Save and Continue → Submit

This last step is important! Your scans are not sent to GCOS until you complete the entire save-and-submit process.

Check Your Progress

After submitting a batch, give the system a little time to process your scans.

Then check your Scan Record in the Seller Portal.

You should see:

  • Items Scanned increase

  • Items Not Scanned decrease

  • Successfully scanned items disappear from the photos, Buyer Codes and descriptions shown under Items Not Scanned

  •

Updates are usually quick, but they may take a little longer when many sellers are scanning at the same time.

Once you see your portal update, scan your next batch.

Troubleshooting

What If I Scan Something Twice?

No problem! The scanner is fast, and it is easy to accidentally scan the same tag more than once. Duplicate scans will not affect your final item count.

You can continue scanning and submit your batch normally.

Does “Items Not Scanned” Need to Reach Zero?

No. Only scan the sold items you are actually bringing to Drop Off.

If you know you are not bringing an item, leave it unscanned. This helps the GCOS team identify and review outstanding sold items with you during check in.

Please do not scan an item simply to make your Items Not Scanned count reach zero.

What If a QR Code Won’t Scan?

If you have the item but its QR code will not scan, set the item aside and bring it with you.

We will manually log the item at check-in.

There is no need to keep fighting with a stubborn QR code!

Having Trouble Scanning at Home?

Scan at Home is designed to make Drop Off easier, but you are welcome to complete the scanning process at Canlan instead.

We will have GCOS team members available to help if you are having trouble with your phone, camera permissions, QR codes or the scanning process.

One Last Reminder

Even if you complete all of your scanning at home, you will still check in with the GCOS team when you arrive at Canlan.

Scan at Home simply helps us get through that process faster—and gives both you and GCOS a clear picture of the sold items you're bringing to the sale.
